Hello all,

Hard to believe with the snow this week that we plans are taking shape for an on-the-water season but spring will be here soon. We remain cautiously optimistic that health metrics will all support launching spring sports on schedule in April. See below for news about our latest fundraiser, registration, a special parents-only boathouse work day and more.

  2. Winter Conditioning — We had a frosty start to Winter Conditioning last week and we’re going to try and keep it up if the courts are clear. Be sure to sign-up here. Don’t forget, we’re meeting by the outdoor basketball courts on the Pickett Road side of Woodson, you must wear a mask for the full practice, and you must have your physical and ECF on file.

  3. Boathouse Workday, No Students Permitted — Save the date: 9-11 a.m. on Saturday, Feb 13. The Park Authority has completed the work on the roof of the boathouses at Sandy Run. We need a handful of able-bodied parents to help bring our boats back to the boathouse safely. We are not allowed to bring students on-site for this activity so we need parents (and alumni) to help us make quick work. Sign up at this link please.

Woodson Oars Available — Six lucky families won the bidding and took home Woodson rowing oars in our virtual silent auction. One oar is still available if you have a rec room in need of that perfect crew design element: You can take one home for a donation of $200 or best offer.   5. Registration is OPEN — Students have met with coaches and are eager to get back on the water. We are very hopeful that we can have a successful season, but that starts with the registration process.

    In addition to registering and paying through Ronin Racing’s website, you must also complete the new W.T. Woodson Athletic & Activity registration at this website. That process includes concussion and safety training as well as emergency care information for rowing and other sports.

    You must complete both of these online registration processes as well as submit all required forms prior to participation in any winter conditioning session or on-the-water rowing practice. No exceptions will be allowed.

    GENERAL INFORMATION

    Dues this year will remain the same as the 2019-2020 season:

    New Rower - $775
    Returning Rower - $925

    We will only accept payment by credit card through the registration website. Due to the uncertainty of this year’s season, we have tried to structure our dues in a way that would be fair to the student-athletes if the season doesn’t follow a normal schedule, but also allow the Association to have adequate resources available to cover our day-to-day and annual expenses.

    For this year, the schedule is as follows:

    New Rowers
    First dues payment upon registration: $150
    Second payment, 2/15/21: $312.50
    Final payment, 3/15/21: $312.50

    Returning Rowers
    First dues payment upon registration: $150
    Second payment, 2/15/21: $387.50
    Final payment, 3/15, 21: $387.50

    The first dues payment is considered a registration fee and is non-refundable.

    Second dues payment: If on February 15th, 2021, all the health metrics and FCPS policies indicate that the Spring Sports season will start as planned, our registration system will automatically charge the credit card on file for the amount listed above. This 2nd payment will be non-refundable once paid.

    Third dues payment: If on March 15th, 2021, all the health metrics and FCPS policies indicate that the Spring Sports season will start as planned on April 12th, Ronin will automatically charge the credit card on file for the amount listed above. However, if necessary, we will delay processing this third and final payment as late as two weeks prior to our first on-the-water practice. If the on-the-water season is cancelled in its entirety due to the global health pandemic, this 3rd payment will also be cancelled and Ronin will not charge the credit card on file.

    Refund Policy
    Due to the uncertainty of this year’s season, we have tried to structure our dues in a way that would be fair to the student-athletes if the season doesn’t follow a normal schedule, but also allow the Association to have adequate resources available to cover our day-to-day and annual expenses. As outlined above, this year:

    1st Dues Payment
     is considered a Registration Fee is non-refundable

    2nd Dues Payment will be non-refundable once processed on February 15th, 2021 — which will only happen if all the health metrics and FCPS policies say that the Spring Sports season will start as planned.

    3rd Dues Payment will only be charged if all indications are that the Spring Sports season will start as planned on April 12th, and may be delayed if the situation is in flux by March 15th, 2021. If the season is cancelled or a rower decides to withdraw from the team before the deadline below, this payment will be refunded.

    If a student-athlete decides to withdraw from the W.T. Woodson Crew Team, that request should be made in writing to the Membership Chairperson. Withdrawal requests made on behalf of returning student-athletes should be made by April 1st, 2021 and new student-athletes by April 26th, 2021. Withdrawal requests will be reviewed on a case by case basis by no less than two members of the board to determine the percentage of dues to be refunded. The initial registration fee, credit card processing fees and the cost of the US Rowing Membership will not be refunded. Withdrawals on behalf of returning student-athletes made during the first two weeks of on-the-water practice will be assessed a $300 penalty. No refunds of dues will be granted after the second week of on-the-water practice unless the student-athlete is cut (see Section 6 of the Handbook).

    REGISTRATION REQUIREMENTS 

    Winter Conditioning
     – Students must have their Woodson emergency care and concussion awareness information up to date — as well as have a sports physical on file with the Athletic Trainer dated later than May 1, 2020 to participate in Winter Conditioning.

  1. Complete the Online Registration first.
    Ronin Registration – This is the online registration service the WTW Crew Team uses. During registration you will provide relevant data and select how you wish to pay your dues.

  2. Complete the W.T. Woodson Athletic & Activity Registration.
    Concussion training forms and the Student Emergency Care Form (ECF) are part of this online athletic registration. If you have already turned in a paper copy of these 2 items, unfortunately, you will need to submit them electronically via the registration site prior to the first day of tryouts.

  3. Submit a VHSL Physical Form.
    Your physical must be dated May 1, 2020 or later and needs to be on the correct form (Revised February 2017). The form must be either scanned to our Athletic Trainer, Chris Hogge at chogge@fcps.edu, mailed to Woodson High School attn: Chris Hogge, or dropped off in the Woodson Main Office. Please keep your own copy of your physical before submitting it. Remember, it may take up to 5 business days for the Athletic Trainer to review your physical and reflect its clearance on the compliance report.

  4. Field Trip Driver’s License and Vehicle Insurance Information Forms
    Student Form – Use this form if your rower has a driver’s license and plans to drive to practice and/or local regattas.

    Parent Form – Parents/guardians living locally need to complete this form.

    After completing registration and the initial payment online, rowers participating in Winter Conditioning must mail or hand-deliver the Field Trip License and Vehicle Insurance Forms to: WTW Crew Membership, c/o 3721 Acosta Road, Fairfax, VA 22031

  5. Swim Test
    Every rower is required to pass a swim test certified by WTW Crew prior to participating in on-the-water practices. Passage of this test is required only once so if you have completed a swim test in prior seasons of participation in WTW Crew, you don’t need to pass it again. We will announce the dates of the next swim test later this month.

  6. US Rowing Membership
    US Rowing memberships are valid for 365 days from the date of purchase. Your dues cover the cost of your US Rowing membership. WTW Crew Team purchases/renews memberships for registered rowers. No action on your part is required.

  7. US Rowing Waiver
    After the team purchases/renews your US Rowing Membership in January 2021, you will receive notice to sign your rowing waiver. Although memberships are good for 365 days from the date of purchase, the US Rowing waiver expires every December 31st. If you are 18 or older, you may sign your own waiver. If you are under 18, your parent must sign the waiver

    FCPS Participation Policy

    The coaching staff will discuss  and distribute the participation policy form on the first day of practice. Parents and student athletes will review and sign the policy and then return to the respective coach.
